About GFT
This role is responsible for providing administrative and operational support to the APAC COO Office, ensuring efficient day-to-day operations through executive administration, travel coordination, calendar management, expense processing and general office administration. The intern will also support various business operations and cross-functional coordination activities as assigned.
Role Summary
This role is responsible for supporting internal communications, employee engagement activities, and employer branding initiatives that strengthen our culture and position GFT as an employer of choice in Vietnam and across APAC. You will work closely with other HR functions, Business Leaders, and regional stakeholders to create engaging employee experiences and impactful employer branding campaigns.
Key Responsibilities
Executive Administration

Support calendar management, including scheduling meetings across multiple time zones.

Coordinate domestic and international business travel, including flight, hotel, transportation and itinerary arrangements.

Prepare and process travel and expense claims in accordance with company policies.

Coordinate meeting logistics, including meeting invitations, room bookings and meeting materials.

Assist in tracking action items and following up with stakeholders.
Administrative Support

Prepare, format and maintain business documents, reports, presentations, and correspondence.

Support purchase requests, invoice processing and administrative documentation.

Coordinate with internal teams and external vendors on administrative matters.

Support office administration, onboarding activities and internal events when required.
Operations Coordination

Maintain trackers, schedules and operational reports.

Assist with data collection, document consolidation and reporting activities.

Handle confidential information with professionalism and discretion.

Perform other administrative and operational tasks assigned by the APAC COO Office.
Requirements
Education
-
Final-year university student or recent graduate in Business Administration, Management, Human Resources, Finance, Economics or a related discipline.
Experience
-
Previous internship or part-time experience in administration, executive support, office operations, customer service or coordination is an advantage.

Experience in organizing meetings, events or administrative activities is preferred but not mandatory.
Skills & Competencies

Good communication skills in both English and Vietnamese.

Strong organizational and time management skills.

Excellent attention to detail and ability to manage multiple tasks.

Proficiency in Microsoft Office applications, particularly Outlook, Excel, Word, and PowerPoint.

Familiarity with Microsoft Teams and other collaboration tools is an advantage.\

Ability to work independently while collaborating effectively with cross-functional teams.
